Q1. What is ITSM Navigator and who should use it?
A. ITSM Navigator is an analytics app that helps organizations measure and improve IT Service Management performance and maturity. It is designed for CIOs, IT Service Managers, and process owners who want a single view of ITSM health, conformance, and execution quality.


Q2. Which frameworks are used for maturity assessments?
A. The Process Maturity Assessment follows FitSM and ISO 20000 standards. These frameworks provide a structured way to evaluate process design, documentation, roles, and governance across ITSM domains.


Q3. How is the overall ITSM Capability Level calculated?
A. The Capability Level is determined by the minimum of the Process Maturity Level and Process Performance Level. This ensures that both process design (maturity) and real-world execution (performance) advance together.


Q4. What are the maturity dimensions evaluated for each ITSM process?
A. Each process (Incident, Change, Problem, Knowledge, Service Level Management, etc.) is assessed across five dimensions. For example:

  • Incident & Service Request Management (ISRM): Service Desk Operations, Process Definition & Workflow, Categorization & Prioritization, Resolution & Fulfillment, Communication & Updates.

  • Change Management: Change Control, Planning & Assessment, CAB, Emergency Changes, Post-Implementation Review.

  • Problem Management: Problem Identification, Root Cause Analysis, Known Error Management, Problem Resolution, Problem Prevention.


Q5. What are the Process Performance dimensions?
A. ITSM Navigator evaluates performance across four weighted dimensions:

  • Conformance Rate (30%) – Are processes being followed as designed?

  • Throughput Efficiency (25%) – How efficiently are cases being processed?

  • Cycle Time Performance (25%) – How quickly are cases being completed, and are SLAs met?

  • Rework / Quality Rate (20%) – How often do we resolve cases correctly the first time?


Q6. How are Conformance and Performance measured?
A.

  • Maturity is measured using FitSM/ISO-based assessments, broken down into process-specific dimensions.

  • Performance is measured using process mining analytics from ITSM logs, mapped to the four weighted dimensions. Sub-metrics (e.g., Perfect Conformance, Backlog Ratio, SLA Compliance) further refine scoring.


Q7. Can I drill down into details?
A. Yes. ITSM Navigator allows you to explore detailed radar charts (for maturity), circular performance charts (for KPIs), and priority distribution views. You can drill down to see process-level and dimension-level performance.


Q8. What ITSM tools does ITSM Navigator integrate with?
A. It works with leading ITSM platforms like Jira Service Management and ServiceNow, and can ingest event/activity logs from other tools for analysis.


Q9. How often is the data refreshed?
A. Process Performance analytics are based on real-time process mining data, ensuring that dashboards reflect the latest operational state. Maturity assessments are updated whenever a new assessment is completed.


Q10. Can the scoring weights be customized?
A. Currently, ITSM Navigator uses the default weights defined in the framework (e.g., Conformance 30%, Throughput 25%). Future releases will allow weight customization so organizations can align scoring with business priorities.


Q11. How can ITSM Navigator help with compliance and audits?
A. Since maturity scoring follows FitSM and ISO 20000, and performance scoring tracks SLA compliance and process execution quality, the app provides useful evidence for internal audits, ISO certification readiness, and IT governance reporting.


Q12. Why does ITSM Navigator now install on both Jira and Confluence?
A. The app ships a built-in Rovo agent that answers ITSM questions using a Confluence-hosted knowledge base. Confluence compatibility is optional (confluence: required: false) but recommended — without it, the Rovo agent has no grounding source. The Jira app remains where all configuration and analytics live.


Q13. How do I use ITSM Navigator on a Confluence site?
A. Two ways:

  1. Browse the auto-generated ITSM Navigator App KB space (created by the app, ~57 categorized ITSM pages).

  2. Ask Rovo in Rovo Chat — the agent uses that KB space to deliver grounded, cited answers.

No manual setup is required in Confluence itself. See Using ITSM Navigator in Confluence.


Q14. How is the Confluence knowledge base populated?
A. From Jira: open ITSM Navigator and click Re-sync Knowledge Base. The app writes ~57 pages into a dedicated ITSM Navigator App KB space and shows a "Knowledge base synced and ready" confirmation. You can re-run the sync any time to refresh content.


Q15. What is the "Ask Rovo" button in the Jira app?
A. Ask Rovo launches the Rovo agent in-context inside Jira. It analyzes your current dashboard (e.g., low-scoring areas), identifies top priorities, and explains them — every answer is grounded in the Confluence KB and cites its sources.


Q16. Does the app modify Confluence content outside its own space?
A. No. ITSM Navigator only creates and updates pages within the ITSM Navigator App KB space it provisions. It does not read or write any other Confluence space.


Q17. What if I install ITSM Navigator only on Jira (not Confluence)?
A. The Jira analytics, dashboards, maturity assessments, and process mining all work as normal. Ask Rovo will be unavailable because there is no KB to ground it. Add the app to Confluence at any time to enable it.


Q18. What are the prerequisites for the Rovo agent?
A. A Confluence Cloud site with Rovo enabled (Premium/Enterprise), ITSM Navigator installed on both Jira and Confluence, and one successful run of Re-sync Knowledge Base.
