Filter and Group Timesheets by Jira Custom Fields

Use Jira custom fields to filter and group the time recorded against issues. For example, project managers can select a Project Code to review staff time for that code, then break it down by user and issue.

The screenshots below use Budget and V26 Region as sample Jira fields. Replace these with the fields used by your team, such as Project Code (Timesheet).

Before you start

  • A user with access to the app settings must first choose which Jira fields to track. If Settings is unavailable, ask your Jira administrator for help.

  • You can track up to two custom fields at a time. Only supported fields can be added; unsupported fields are disabled in the field picker. Supported examples include Number and Select list fields.

  • The field must be populated on the Jira issues whose time you want to report on. Worklogs for issues with no value appear in a “No [field name]” group.

  • Your existing worklog permissions determine whose time you can report on. Custom-field filtering does not grant access to other users’ worklogs.

Add a Jira field

  1. Open Worklog Reports and select Settings in the sidebar.

  2. Open the Jira fields tab and select Add field.

  3. Search for the Jira field by name, then select it from the supported fields. For example, select Project Code (Timesheet) if it is available in your Jira site.

  4. Wait while the field values load. The status shows loading progress and changes to Ready when loading is complete.

  5. Open Timesheet to use the field in filters and grouping.

When two fields are already tracked, Add field is disabled. Remove an existing tracked field before adding a different one. Removing tracking does not delete the custom-field definition from Jira.

Example: two tracked fields are Ready. Add field is disabled because the two-field limit has been reached.

Filter a timesheet by a custom field

  1. Open Timesheet and choose the date range and users you want to report on, subject to your permissions.

  2. Select Filters, then + Filter by field and choose the tracked Jira field.

  3. Search the available values and select one or more. For example, select a particular Project Code.

  4. Review the matching worklogs and totals. Select “No [field name]” to include issues without a value.

  5. Use the filter’s remove control to remove that field filter, or Clear all to clear all report filters.

Selecting multiple values within one field includes worklogs matching any selected value. Filters on different fields are combined: a worklog must match both. You can also combine custom-field filters with the other Timesheet filters. If nothing matches the selected range and filters, the table shows that no logs were found.

Timesheet filtered to V26 Region AMER

Example: V26 Region = AMER returns only the matching worklogs, with a 15-minute total in this sample report.

Group time by a custom field

  1. Select Group by in Timesheet.

  2. Choose the tracked field under CUSTOM FIELDS.

  3. Adjust the grouping levels to suit your report. For a project-code summary with staff and task detail, use Project Code (Timesheet) → User → Issue.

  4. Review the total for each field value and the user, issue, and work-category breakdowns beneath it. Remove grouping levels with their remove controls when you want a different summary.

Filtering and grouping can be used together. For example, filter to one Project Code, then group by that code, User, and Issue to see how each team member’s time contributes to the project total.

Timesheet grouped by V26 Region, User, and Issue with AMER and No V26 Region selected

Example: V26 Region → User → Issue shows separate totals for AMER and issues with no Region. Selecting both values includes both groups, totaling 5h 15m in this sample.

Save and export a report

Use Views → Save current filters as a view to reuse your custom-field filters, grouping order, period, and user selection. Give the view a name and select Save. Select the saved view later to restore that report configuration.

Use Export → Export as PDF or Export as Excel to download the filtered report. Custom-field grouping appears in the PDF and in the grouped Timesheet sheet of the Excel workbook. The Detailed Logs sheet lists the individual worklogs included in the report.

Refresh or remove a tracked field

  • Refresh: In Settings → Jira fields, select the refresh action beside a field to reload its values from Jira. Wait for Ready before relying on the refreshed report.

  • Remove: Select the remove action beside a field and review the confirmation. Removing the field deletes its tracked values from Worklog Reports, and saved views that filter or group by it drop that field. It does not delete Jira issues, worklogs, or the Jira custom-field definition.

  • To track the field again, select Add field, choose it, and wait for loading to finish.

Troubleshooting

  • The field is missing from Timesheet: Check that it has been added in Settings → Jira fields and its status is Ready.

  • The field cannot be added: Check the two-field limit and whether the picker marks its type as unsupported. Confirm that the field exists in the Jira site.

  • All time appears under “No [field name]”: Check the field values on the relevant Jira issues and confirm that the field is applicable to those issues. Refresh the tracked field and wait for Ready.

  • No logs are found: Check the selected users, date range, and all active filters. Clear filters to check the unfiltered timesheet.

  • A project manager cannot view staff time: Ask the administrator to review the existing Worklog Reports permissions for viewing other users’ worklogs.
